Organisations

Belonging to one or more organisations, switching between them, and what belongs to the organisation rather than to you.

An organisation is the container for a team's work. It has its own address — <org>.spacesync.app — its own projects and teamspaces, its own members and roles, its own plan and seats, an audit log, and its own sign-in rules. Organisations are set up by SpaceSync rather than self-serve; get in touch if your practice needs one.

Your account is still yours. Your personal projects, profile, preferences and billing do not belong to any organisation, and you can belong to as many organisations as you like — each one is a separate membership with its own role.

Roles

Owner
One per organisation. Everything an Admin can do, plus the sign-in and security settings — single sign-on, Require SSO, Require 2FA — and transferring ownership.
Admin
Runs the organisation day to day: members, guests, invitations, teamspaces, verified domains, the organisation's projects, the audit log and usage.
Member
Creates projects and works in the organisation's projects. The role most people have.
Guest
An outsider — a client, a consultant — who sees only the projects they have been given explicitly. Guests are not in any teamspace, do not use a seat, and cannot create projects.

What each role can do to a particular project is a separate question, answered by project roles and the project's access settings — see Roles and permissions.

Joining

  • An email invitation from an admin. It arrives by email and, if you already have an account, in your inbox and on Home. Accept it from either — the invitation is tied to the address it was sent to.
  • An invite link an admin has shared. Opening it while signed in joins you; signed out, it brings you back to the link after you sign in.
  • Your work email. When the organisation has verified its email domain and switched auto-join on, signing up or signing in with an address on that domain offers you the organisation — or joins you outright.
  • Single sign-on. Your first sign-in through the organisation's identity provider creates your account, already a member. See Sign-in and security.

Note

Some organisations are closed to particular email domains. An invitation, link or sign-in from another domain is refused with a message saying which domains are allowed — that is the organisation's setting, not an error on your side.

Switching

Use the switcher at the top of the sidebar. It lists Personal and every organisation you belong to. Each organisation has its own address, so switching loads a different address — <org>.spacesync.app — and the page reloads. Expected behaviour, not a redirect gone wrong. Sign in happens on spacesync.app whichever address you start from, and one sign-in covers all of them.

What belongs to the organisation

The organisation'sYours
Organisation and teamspace projectsPersonal projects — private, even when you open them from an organisation's address
Members, guests and their rolesYour profile and avatar
TeamspacesYour theme, project colours and notification preferences
The plan and its seatsYour own plan and billing
Verified email domains and single sign-onYour password, linked providers and two-factor authentication

Personal projects never appear in an organisation's admin views, audit log or usage, and they are never counted against its plan. Inside an organisation with a Pro plan you get Pro capabilities on its projects whatever your own plan — see Plans.

Settings & Admin

Owners and Admins see Settings & Admin at the foot of the sidebar. It is only reachable from the organisation's own address, and its sections are:

Members
Everyone in the organisation with their role, how they joined and whether they have two-factor on. Change roles, suspend a seat, remove people; the Guest access switch here decides whether members may invite guests to their projects. Guests have their own tab showing which projects each one can see.
Teams
Create teamspaces, rename them, add and remove members. Deleting a teamspace moves its projects to the organisation's root — nothing is lost.
Invites
Email invitations — pending, accepted, expired — with resend and revoke, and the reusable invite link with its role, expiry and use limit.
Domains
Verify that the organisation owns an email domain (a DNS TXT record), and switch auto-join on for it.
Sign-in & Security
Owners only. Connect single sign-on, choose which sign-in methods members may use, Require SSO, Require 2FA. See Sign-in and security.
Audit log
Who did what, when — membership, roles, teamspaces, security settings, project ownership. Filterable, and exportable as CSV.
Usage
Seats used and available, projects, teamspaces, storage. Read-only.
Organisation profile
The organisation's name, its address, and its logo.
Danger zone
Leave the organisation, or transfer ownership. Deleting an organisation is done by SpaceSync.

Leaving

Leave from Settings & Admin → Danger zone if you can see it, or ask an admin to remove you. Organisation projects you owned pass to the organisation's owner; your personal projects are untouched. An owner cannot leave — transfer ownership to another member first.
