Organisation projects

Where a project lives — Personal, an organisation, a teamspace — who can reach it by default, teamspace grants, guests, moving it, and the activity feed.

A project belongs to one of three places, and the place decides who can reach it before anyone is invited by name.

Personal
Yours. Nobody sees it unless you invite them or share a link. Never counted, listed or audited by any organisation, even when you open it from an organisation's address.
Organisation
At the organisation's root. Reachable by every member according to the project's default access.
Teamspace
Inside one of the organisation's teamspaces. Its members can edit, and the rest of the organisation gets the default access.

You choose the place when you create a project on an organisation's address — the Where step offers Personal, the organisation, and any teamspace you belong to — and a badge on every card and row says where it lives. Members can create projects at the root or in their own teamspaces; guests cannot create projects.

Everyone at the organisation

The first row of an organisation project's sharing panel is Everyone at the organisation, with one of three settings:

SettingEvery member gets
Can editEditor — the organisation's default for new projects unless an admin changes it.
Can viewViewer.
No accessNothing. Only the owner, the owning teamspace, and people or teamspaces granted by name can open it — not even admins, who see it in the admin list and nowhere else.

Changing it takes effect immediately for everyone. Guests are never included: a guest only ever reaches the projects they were given.

Teamspaces

The teamspace a project lives in appears as Members of that teamspace — a structural row you cannot edit from the project; change the teamspace's membership instead, or move the project. A project can also grant another teamspace Editor or Viewer without moving there, which is how a shared resource — a site model, a standards project — is opened to several teams at once. Pick the teamspace in the same box you use to add people.

Guests

Someone outside the organisation — a client, a consultant — is invited as a guest: type their email address in the sharing panel and choose *Invite as guest*. They get a Guest membership in the organisation, access to this project at the role you chose, and nothing else. Guests carry a Guest badge on the member list, use no seat, and are listed under Settings & Admin → Members → Guests with the projects each one can see.

Note

Whether members may invite guests is an organisation setting. When it is off, only admins can; the sharing panel says so rather than offering a button that would fail. Some organisations also restrict guests to particular email domains.

Moving a project

From the project's menu on a card or row: Move to organisation…, Move to teamspace…, Move to organisation root or Move to personal, depending on where it is now and what you may do. The dialog says what will change before you confirm.

  • Personal → organisation or teamspace. You must be able to create projects there. You pick the default access on the way in. Collaborators who are not members of the organisation are converted to guests — or, if you may not create guests, the move is refused with their names so you can remove them or ask an admin.
  • Between the root and a teamspace. Access follows the new place at once; grants and individual members stay.
  • Organisation → personal. Admins only. Teamspace grants are dropped; people added by name stay.

Careful

Project addresses are unique within a place. If the destination already has a project with the same name, the moved project gets a suffix in its address — the dialog tells you, and old links to it stop working.

Ownership

An organisation project always has an owner — a member of the organisation. The owner or an admin can hand it to another member from the sharing panel (the crown beside their name); the previous owner stays on the project as an Editor. When someone leaves the organisation, the projects they owned pass to the organisation's owner.

Activity feed and audit log

Two records that answer different questions. The activity feed — on Home and on each organisation project — is for the team: projects created and moved, members and teamspaces coming and going, in plain language. The audit log, under Settings & Admin, is for admins: every administrative action with who, when and what changed, filterable and exportable. Personal projects appear in neither.
